Terms of use
1. About these terms
These terms apply to everyone who uses SmartBooking: people who book tickets, organisations that publish events and sell tickets, and volunteers who help run them. By booking, registering or using the website or the apps you agree to them. How we handle personal information is explained separately in our privacy policy.
Organisations that sell tickets also accept an organisation agreement when they sign up. Where that agreement and these terms differ, the agreement governs the relationship between SmartBooking and that organisation.
2. What SmartBooking does
SmartBooking is software for event registration, ticketing and payments. Organisations use it to publish events, sell or give away places and admit people at the door. SmartBooking is a service provider to the organisation and is not the organiser of any event. The organisation named on the event page and on your confirmation email runs the event and decides its details.
3. Booking tickets
- You do not need an account to book. Your confirmation email and the passes attached to it are all you need to attend.
- Please give an email address you can read and the correct name for each person attending — the organiser uses them to contact ticket holders and to admit people.
- A pass is admitted once. Keep it to yourself; whoever presents it first is admitted.
- The organiser decides who is admitted and any conditions of entry, such as age requirements.
4. Payments
- The price you pay is the total shown at checkout before you confirm.
- Card payments are processed by Stripe on its secure payment page. We never see or store your card number.
- Payments are collected on the organisation's behalf and passed on to it, less the platform commission and card processing cost set out in the organisation's agreement.
5. Cancellations and refunds
- Each organisation sets and honours its own refund and cancellation terms. SmartBooking provides the means to cancel and refund but does not decide whether a refund is due.
- Your confirmation email contains a cancellation link for that booking. If the link has expired, or the event no longer accepts cancellations, the organiser decides what happens next.
- An approved refund goes back to the card you paid with — never as cash, a voucher or a transfer. Your bank decides how quickly it appears; a few business days is normal.
- If an event is cancelled or changed, the organisation is responsible for contacting ticket holders and for refunds that arise from it.
If you cannot reach the organiser, contact us and we will put you in touch or chase them on your behalf.
6. Organisations selling tickets
- An organisation registers, verifies its email address and completes its profile. It can create and test events straight away; live payments are switched on only once its organisation agreement has been accepted.
- The organisation is responsible for the accuracy of its event information, for holding the events it advertises, for admitting people who hold valid passes and for answering enquiries about its own events.
- The organisation must use attendee information only to administer bookings and admission, and for no other purpose.
- Fees are set out in the organisation's agreement and shown on its finance pages in the portal.
7. Payouts to organisations
- Ticket money for an event becomes available to the organisation a set number of days after the event ends, once payments have cleared.
- The organisation then requests a payout from the Money page in the portal. Each payout is approved by two people on our team and paid by bank transfer to the bank account the organisation saved, and the organisation is emailed when it has been paid.
- Refunds come out of the available balance; if a balance goes below zero after refunds, payouts pause until later sales cover it.
The support page explains each step in more detail.
8. Your account
- Keep your password to yourself. You are responsible for what is done with your account.
- You can delete your account at any time — see Delete your account. Some records, such as bookings and payment records, have to be kept by law, without your personal details.
- We may suspend an account or organisation that breaks these terms or the law, or that puts other people's money or information at risk.
9. Acceptable use
You must not use SmartBooking:
- for anything unlawful, or to sell places at an event you do not have the right to run;
- to collect or use other people's information for a purpose it was not given for;
- to interfere with the service, other people's accounts or another organisation's data.
10. Who is responsible for what
- The organisation is responsible for its event: its content, whether and when it happens, entry to it and refunds arising from it.
- SmartBooking is responsible for providing the booking, ticketing and payment software with reasonable care and skill, and for handling payments and personal information as these terms and the privacy policy describe.
- Nothing in these terms excludes or limits any right you have under the Australian Consumer Law or any other law that cannot be excluded.
11. Changes and contact
When these terms change we update the effective date at the top and, for material changes, tell account holders by email. The current version is always at smartbooking.au/terms.
